Client Services Specialist

We are looking for an experienced Client Services Specialist (CSS), preferably based in Cary, NC. This role reports to the Director of Clinical Oncology.

As a CSS, you will play a pivotal role in our growing client services department, providing exceptional customer service to clients and patients. Collaborating with new team members, you will work cross-functionally with commercial and lab operations partners to develop scalable solutions for OncoHost.

This is a full-time, on-site position with benefits including health and dental.

The ideal candidate for the Client Services Specialist position is preferably an experienced RN/MA with customer-facing expertise in the oncology industry.

Key Responsibilities:

  • Deliver exceptional client service, ensuring a positive and professional image for OncoHost.
  • Respond to various forms of communication (phone, email, web) from customers, including physician offices, laboratories, and hospitals, as well as sales representatives and patients.
  • Maintain precise documentation of all communications and follow-up activities.
  • Collaborate with the clinical lab to ensure accurate client information entry.
  • Communicate professionally and effectively internally and externally with patients, customers, and external vendors.
  • Assist with kit ordering and coordinate off-site phlebotomy services as needed.
  • Utilize Salesforce (CRM)and other integrated software platforms for managing Customer Relationship Management with clients, patients, and the sales team.
  • Resolve customer complaints and escalated situations using problem-solving skills.

Requirements:

  • Preferred: RN/MA with customer facing responsibilities, comfortable speaking with patients and oncology office personnel. Must have the ability to display compassion and patience when working with both. 
  • Preferred: Experience in the diagnostic, medical device, biotech, or healthcare setting.
  • Solid proficiency and strong technical skills in Microsoft Office and Salesforce (CRM).
  • Quick learner with the ability to work collaboratively and with flexibility in a dynamic, fast-paced environment and implement procedures and policies.
  • Excellent written and verbal communication skills; high computer proficiency.
  • Ability to multitask with self-discipline, good judgment, and independence.
  • Organized and detail-oriented problem solver with the ability to manage escalated client-facing situations professionally.
  • Flexibility with working hours based on client and company needs.
  • Bilingual English/Spanish is an asset.
